The Division of Public Health is accepting applications for a Customer Service Representative/ Administrative Associate II position in the Customer Service Unit of N.C. Vital Records. It provides copies of vital event records to the public and public agencies.
Job duties include –
Extensive telephone contact with the public.
Processing requests for copies of vital records received from individuals and agencies, some of whom may make these requests in person via a lobby service window.
Conducting searches for information in electronic and manual databases and updating data in computer systems, including fee and accounting information.
Evaluate customer requests and apply appropriate sections of the N.C. General Statutes, N.C. Administrative Code, policies, and procedures to the issuance of certificates.
Able to explain the guidelines based on the sources to the public and public officials.
Communicate effectively both verbally and in writing.

N.C. Vital Records is part of the DHHS Division of Public Health. In partnership with county registers of deeds offices, local health departments, birthing facilities, and death registration partners throughout the state, we are responsible for recording North Carolina vital events. This includes responsibility for legally registering all births, deaths, fetal deaths, marriages, and divorces which occur in North Carolina; coding these events for statistical purposes; maintaining these records; and providing certified or uncertified copies to individuals, researchers, and public health programs. Individuals need these records for various life events such as beginning school, applying for a passport, obtaining a REAL ID, and settling estates.

Qualified candidates must document on the application that they possess all the following:
Experience must include responding to customers’ inquiries by applying knowledge of the organization’s laws, policies, and procedures.
Five years of experience conducting searches and updating information in electronic databases.
Working experience of calculating and collecting fees, ensuring the accuracy of fees collected and balancing/reconciling/closing a fees drawer or fees total.
Experience in working with and protecting the confidentiality and security of information and records.
Ability to present ideas clearly, effectively, and professionally both verbally and in writing.
Ability to accuracy and attention to detail.
Education Requirements:
High school or General Educational Development (GED) diploma and one year of administrative experience; OR An equivalent combination of education and experience.
