At least five years of administrative or secretarial experience. Demonstrated proficiency with MS Word, Excel, Power Point, Outlook; experience scheduling and hosting virtual meeting platforms (i.e., WebEx, ZOOM, MS Teams). Experience organizing and prioritizing high volumes of work. Experience providing administrative support to upper management employees including managing their calendars. Experience making travel arrangements including reservations and processing travel reimbursement vouchers; experience setting up large meetings, filing and using electronic filing systems. Experience coordinating meetings with large groups of key stakeholders. Experience supporting health related programs.
The Executive Administrative Assistant will be located in the AIDS Institute (AI) Executive Office and will perform a variety of activities including but not limited to: providing administrative assistance to the AI Director and other Executive staff; maintain confidential files and tracking systems; coordinate, prepare and monitor executive correspondence for the Executive office; serve as point of contact for Department Executive staff, ensuring appropriate communication; coordinate aspects of large AI-wide meetings, including all logistical requirements and development of agendas and other meeting materials; manage complex executive schedules and calendars; respond to inquiries; assist in the coordination of special projects; and other appropriate related duties as assigned. The incumbent will also assist in the coordination of administrative and operational activities of the Executive office, including purchasing and travel requests.
