The UW Department of Environmental and Occupational Health Sciences (DEOHS), housed in the School of Public Health, is seeking a full-time Continuing Education Coordinator to join a team of instructors, staff, and faculty providing professional continuing education courses throughout the Northwest Region.
The Department of Environmental and Occupational Health Sciences (DEOHS), one of five departments in the School of Public Health, focuses on the prevention and intervention of environmental and occupational health injuries and illnesses through research, teaching and service. The Continuing Education Coordinator will join a team of about 10 faculty and staff dedicated to providing professional courses to health and safety professional. The position provides important day-to-day support to prospective and enrolled students, business liaisons, instructors, and other members of the UW community. The courses are offered through the DEOHS Pacific Northwest OSHA Training Center and held in Alaska, Washington, Oregon, and Idaho. This position as an important customer service role interacting with diverse groups engaged in occupational health and safety.
The DEOHS Continuing Education Programs (CE) reflects the department’s commitment to serve the on-going and evolving educational needs of workers, business leaders, and occupational health and safety practitioners. DEOHS CE is committed to delivering high quality professional development courses, building partnerships, and engaging regional communities to promote safe workplaces and sustainable environments throughout Washington, Oregon, Idaho and Alaska. The programming reflects an in-person and on-line portfolio of unique and emerging course topics as part of an overall federal graduate training grant housed, state and federal OSHA training courses, and industry and governmental contract courses. The Center serves about 1600 per year through 140 course offerings, in person and on-line. The Center also conducts health and safety train-the-trainer programs with enrollments at about 1060 individuals per year. The Center generates about $900,000 in course revenue per year from these offerings.
RESPONSIBILITIES:
Student/client support
•Assist clients to track continuing education courses, transcripts and progress in certificate programs. Interact directly with multiple students throughout the day and provide positive levels of customer service representing the programs. Troubleshoot issues and provide guidance regarding client needs and program offerings, such as registration and payment transfers, billing, and other user account-related issues. •Serve as the primary point of contact for incoming calls and emails to DEOHS Continuing Education. Provide the first line of response for inquiries, course enrollments and changes, and troubleshooting. Based on a solid understanding of the complex training and certification requirements, independently assess needs and provide solutions while determining which issues require escalation to CE supervisor. •Administer student course registrations through the program's website, help with inquiries, troubleshoot issues, and provide guidance regarding client needs and program offerings. Serve in an advisory capacity to department IT team who are launching a new site and provide frequent follow-up to development team regarding user interface and customer satisfaction. •Provide preliminary client advising regarding course prerequisites and experience needed for acceptance into OSHA Outreach trainer courses. •Work directly with students and their finance representatives to monitor and process course payments and provide guidance as needed. •Under limited supervision, conduct the course completion tasks: generate reports regarding student enrollment and print course completion certificates; prepare and ship award letters, certificates, and diploma; track student progress in online courses via a tracking logs; update grades and record completion status in system; and coordinate course close out and records retention activities following a detailed protocols.
General program support
•Contribute to the CE leadership course planning team to generate reports and summaries reflecting the class schedules (both virtual and in-person). Independently run reports, verify with senior staff, and generate final summaries. •Under moderate supervision, generate reports and metrics regarding student enrollment, course completion, and other tallies for use in training grant reporting, departmental reports, and other inquiries. •Independently provide instructor assistance (about 10 instructors per year) with daily course needs. Set-up the classrooms each morning and monitor the facility throughout the day to assess supply needs and compliance with COVID safety requirements. •Ship educational materials to instructors in WA, OR, ID, and AK for in-person classes. Ship and track course materials to students for virtual classes. Manage inventory of manuals and shipping materials on a regular basis and order replacements. •Under limited supervision, document course evaluation records. Collect, review, and summarize student evaluations for DEOHS CE programming and report submissions. •Participate in the roster of staff providing breaks to the building front desk personnel. •Contribute to CE staff special projects and back-up as needed.
OSHA Outreach Training Program support
•Advise the senior level OSHA and CE program team regarding training needs and concepts for development based on direct interaction with potential and on-going students, instructors and inquiries from the public. •Process emailed OSHA outreach trainer class pre-registrations. Process electronic and paper OSHA Outreach Training Reports on a daily basis (approximately 250-300 per week). Audit the Training Reports and notify the trainers if incorrect or incomplete reports are received. •Manage the Outreach student card process: print cards; conduct accuracy review; record and track discrepancies; process card replacement requests; and process payments for OSHA Outreach Training Program card orders. Independently conduct intermittent work flow assessment to draft recommendations for improvement to supervisor and senior CE and OSHA program team. Implement recommendations, conduct evaluation, and report out to leadership. •Provide guidance, based on knowledge of program, intricacies, and compliance features with the federal OSHA program, about the Outreach Training Program Requirements to Outreach trainers.
MINIMUM REQUIREMENTS:
Bachelor’s degree in communications, marketing, business, public health or related field and three years of administrative experience.
Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration.

•Experience with continuing education in a higher education setting. • Experience with web-based programs and report generation. • Interest in worker health and safety.
