The Center for Biostatistics in AIDS Research (CBAR) is a large, high-profile research center located within the Harvard T.H. Chan School of Public Health. It is comprised of over 100 statisticians, programmers, research scientists and other staff. With annual budgets totaling $33,000,000, the CBAR provides statistical analysis for the world's largest network of AIDS clinical researchers.

The Senior Grants Manager (SGM), under the direction of the Associate Director of Finance and Grants Administration, will be a part of the CBAR Finance Team and is responsible for pre-award grants management preparation as well as providing post-award management for a portfolio of NIH grants, Center funds, discretionary funds and subcontract funds totaling over $6M.

The SGM will work closely with researchers and other members of the Finance Team to design and prepare budgets, as well as assemble highly-confidential, final grant proposals. The SGM will analyze past data in preparing projections, completing required forms for new grant proposals, and completing competitive renewals and continuations for a number of different sponsors (NIH, subcontractors, and corporations). The SGM will also be responsible for monitoring all deadlines and contacting the School's Office of Sponsored Programs Administration to resolve any problems or issues that arise.

In addition, the SGM will be responsible for analyzing financial reports for trends and presenting data analysis and financial reports to the Department's Principal Investigators (PIs) and Associate Director of Finance and Grants Administrations -- for use in long-term planning and decision-making. Additionally, the SGM will respond to a variety of financial inquiries as they arise and will work closely with researchers to ensure proper effort allocation.

Additional duties and responsibilities include, but are not limited to, the following:
  • Working with the Associate Director of Finance and Grants Administration in monitoring and reconciling post-award expenditures/invoices
  • Following up with any problems discovered and resolving with journals or other appropriate actions
  • Monitoring post-award budgetary expenses for his/her portfolio to ensure compliance in accordance with granting agencies and University guidelines
  • Ensuring expenditures are allowable and allocated to correct funds
  • Advising Principal Investigators on Harvard University and CBAR policies and procedures, as well as providing expertise and guidance regarding NIH and other sponsors' rules and regulations
  • Attending necessary meetings, trainings and workshops to stay current on job-related regulations and policies
  • Coordinating with the Associate Director of Finance and Grants Administration on other projects as needed (for example, with NIH cooperative agreements administered at the Center)
  • Other duties as assigned
PLEASE NOTE: The primary work location for this position is Boston, Massachusetts. Until our return to campus, which is still to-be-determined, this interview process and position will be conducted virtually – including virtual interviews, remote onboarding, and remote work. The remote nature of this position is only temporary. Local, on-campus work will be required once the School and this role return to an operational status that supports it.

Union: 55 - Hvd Union Cler & Tech Workers

  • 5+ years of experience, with 3+ years of those years in pre- and post-award management experience (both federal and non-federal), required; a combination of education and experience may be considered


  • Bachelor's Degree preferred
  • Experience working in a University setting, in a grants management or sponsored research related position, strongly preferred
  • Knowledge of NIH policies, A-21, and Uniform Guidance regulations strongly preferred
  • Strong skills and experience in Microsoft Excel strongly preferred
  • Experience using spreadsheets and database software strongly preferred
  • Knowledge of Harvard University grants administration systems a plus but not required
Strong and meticulous attention to detail; strong analytical and problem solving skills; strong written and oral communication skills; experience using a high degree of judgment and making sound independent decisions; experience handling confidential materials and information with discretion; experience working under pressure to meet competing deadlines and prioritize duties while managing multiple high-priority projects; experience taking initiative and being self-directed; experience working well both independently with minimal supervision as well as part of a team preferred
