The Department of Epidemiology provides the critical education, research, and leadership to tackle tough challenges and to develop the next generation of leaders and visionaries in public health. The department has over 60 graduate level courses and 6 undergraduate courses, providing instruction on epidemiologic methods and approaches to a range of health problems and important population exposures. The department has more than 60 core faculty at the cutting edge of research regarding critical public health topics such as infectious diseases, mental health, cardiovascular disease, cancer, maternal and child health, injuries and violence, nutrition, aging, and environmental, social and genetic determinants of health. Strong collaborations exist locally with colleagues at the Fred Hutchinson Cancer Research Center, Kaiser Permanent Washington Health Research Institute, the Harborview Injury Prevention and Research Center, the Veterans' Affairs Puget Sound Health Care System, the Washington State Department of Health, the Seattle-King County Department of Health, the Bill and Melinda Gates Foundation, and elsewhere, and many of the department’s core faculty conduct research in collaboration with colleagues across the globe. The Department of Epidemiology has an outstanding opportunity for a Manager of Special Projects. The Manager of Special Projects, Program Operations Specialist works on a variety of projects and process improvement efforts with department-wide impact. Reporting to the Administrator, and partnering closely with the Chair and other members of the Epidemiology Leadership Team (ELT), the Program Operations Specialist will be a key driver in the department’s organizational development by providing project management and operational and administrative expertise. This position will independently work with department leadership, managers of functional teams (e.g., Communications, Academic HR, Grants/Finance, and Student Academic Services), and support staff to develop operational assessments, detailed project plans, and administrative reports. RESPONSIBILITIES: Project Planning & Execution: •For administrative, academic, research, and service operations, assess project goals and needs. •Responsible for the design and day-to-day management of multiple project work streams. •For each project, define and clarify scope of work, budget, available resources, and deliverables. •Work with leadership to identify appropriate project team members; establish buy-in and timeline. •Identify roles and positions within work teams, including outside vendors. •Manage tasks throughout multiple project lifecycle phases including project planning, discovery, development, implementation, and establishment of metrics; Make recommendations regarding ongoing distribution of tasks and duties. •Liaise directly with Chair and Administrator (in addition to the other managers of the functional teams in the department), to document and communicate project plans. •Establish and guide project teams to ensure successful completion of project according to timelines. •Identify risk factors; conduct project evaluation/correction to minimize risk factors. •Manage the implementation of project-specific changes, including assigning work, tracking project progress towards deliverables and report status to stakeholders, and evaluating the impact/results. Process Improvement: •Examine areas in need of policies and procedures. •Examine current policies, procedures, and service team guidelines, and recommend process improvements to work practices, communications, and quality control. •Work with faculty, staff, and leadership throughout the department, and centers to develop and implement smooth and efficient processes and reporting systems. •Develop policies and procedures to support the achievement of project objectives and departmental goals. •Communicate and coordinate fixes and deployments through appropriate technologies and work teams. •Devise the best approach for communication/distribution of revised and new policies, procedures, and service team guidelines. Event Management: •Plan and lead a broad range of department events intended to strengthen a sense of community across faculty, staff, and students. Coordinate details with the department Communications team, Student Academic Services team, and Assistant to the Chair. Determine event content, technical platform/support, promotional strategy, site identification, and contract negotiation for services. •Take lead project manager role for the annual faculty retreat, collaborating as needed with the Assistant to the Chair. Partner directly with the Chair to build out content for the retreat, materials, speakers, and deliverables. Have responsibility for building out subsequent action plans that result from topics/goals discussed at retreat, and lead actionable next steps. Qualifications: •Bachelor’s Degree in Business, Communications, or related field •At least 4 years of progressively responsible administrative/project management experience in a large, complex organization •Experience working cross functionally to design and implement high-level solutions while resolving detailed operational issues •High degree of competency with project management and methodology; scoping, issue & risk identification, general management, tracking dependencies and milestones, user acceptance, and communication of overall project status •Ability to facilitate the resolution of challenging business and technology problems, as well as the ability to quickly learn and apply new or unfamiliar technologies •Excellent planning and organizational skills •Event management and meeting coordination experience •Ability to handle executive level confidential information with high level of tact, discretion and diplomacy •Ability to initiate/manage cross-functional teams and generate team buy-in •Strong interpersonal and leadership skills •Demonstrated ability to communicate professionally, clearly, and empathetically in all forms of communications, e.g., verbal and written, one-on-one, and in groups •Experience working independently, and as both a member and leader of a team •High degree of proficiency in Microsoft Office suite Equivalent education/experience will substitute for all minimum qualifications except where there are legal requirements such as license/certification/registration.
