Position Summary

Reporting to the ERP and Regionalization Project Director for day-to-day operations, the Process Specialist will support transformation efforts associated with the onboarding of the new ERP system and regionalization of business processes and improvements across ICAP inclusive of ideation through implementation, operational readiness and execution. 

The Process Specialist will also report into the Quality Assurance Director as it relates to the compliance requirements of the business process design.

Responsibilities

Under the leadership of the Project Director and Quality Assurance Director, the Process Specialist will:

1. Assist to build consensus on process improvement initiatives and drive change within the respective units and offices.
2. Determine ICAP needs and scalable solutions to solve process issues through process mapping and workflows, observation and analysis.
3. Collaborate with Subject Matter Experts and other key stakeholders, interviews process owners to understand and document current "as is" operations / processes, facilitates design sessions to design and develop new "to be" business processes, procedures and future state requirements and define necessary improvements.
4. Work under the direction of the Quality Assurance Director to ensure that business process designs meet financial compliance requirements; interfaces with the IT lead regarding data security requirements of the design.
5. Conduct root cause analysis for continuous improvement and definition of solutions for key risks throughout the project.
6. Provide guidance and coaching to ICAP teams to ensure successful execution and adoption of process changes.
7. Ensure process improvement efforts maintain direction and fulfill predesigned expectations.
8. Contributes to and Manages Knowledge Management systems associated with the ERP system implementation and regionalization of business processes.
9. Play a key role in development of training materials and job aids.
10. Perform other related duties as assigned

Minimum Qualifications

• Requires bachelor's degree or equivalent in education and experience, plus five (5) years of experience addressing management and operational requirements of donor-supported public health or development projects within a non-profit or academic setting
• Master's degree preferred
• An understanding of typical business/administrative process flows and approval patterns
• Knowledge of internal controls and risks
• Excellent interpersonal, organizational, record-keeping, writing, and verbal communications skills and a demonstrated orientation towards customer service
• Demonstrated ability to run/lead meetings, including question storming sessions and due diligence interviews
• Able to work in a fast-paced environment with demonstrated ability to manage time effectively, juggle multiple and competing demands, establish priorities, and meet deadlines with minimal oversight
• Capacity to work with a high degree of independence within a matrixed, deadline-driven, multi-tasking environment
• Ability to map processes and document procedures, and to write reports and operational guidelines
• Advanced skills in the Microsoft Office suite, particularly Excel, Visio and Microsoft Project
• Experience working in a multi-cultural, multi-lingual environment a plus

Other Requirements

• Periodic international travel may be required
