The Department of Epidemiology, at the Harvard T.H. Chan School of Public Health, studies the frequency, distribution, and determinants of disease in humans, a fundamental science of public health. The Department of Epidemiology at the Harvard T.H. Chan School of Public Health and the Stanley Center at the Broad Institute of MIT and Harvard seek a Research and Program Coordinator for their Neuropsychiatric Genetics in African Populations (NeuroGAP)-Psychosis Program. An organized and detailed-orientated team-player is sought for a full-time Research and Program Coordinator position in Dr. Karestan Koenen's research group in the Epidemiology Department at HSPH. The Neuropsychiatric Genetics of African Populations (NeuroGAP)-Psychosis Program is a collaboration with scientists at five institutions in in Ethiopia, Kenya, South Africa and Uganda with the goal of collecting saliva and phenotypic data from 35,000 individuals (cases and controls) through 2022. DNA samples will also be sequenced for a GWAS analysis at the Broad Institute. Duties and responsibilities include, but are not limited to, the following:
Administrative Support:- Scheduling – Locates venues for meetings, provides directions, and meeting materials. May be asked to maintain additional calendars for group projects, including tracking the leave of other group members. Sets up conference calls using Zoom, ensures the distribution of agendas ahead of time, and takes minutes.
- Financial and Operations – Provides administrative services, and has knowledge of policies and procedures. Familiar with travel guidelines and reimbursement policies for travel related expenses. Understands catering guidelines, vendors and budgets related to food expenses. Orders supplies for NeuroGAP-Psychosis projects through Harvard procurement systems.
- Travel Coordination – Makes complex domestic and international travel arrangements for collaborators and visitors including flights and hotels.
- Meeting and Event Coordination – Plans and coordinates meetings, seminars, conferences, consortiums and special events. Creates meeting agendas and event programs. Coordinates with external sources to accomplish activities of limited complexity, such as obtaining bids from vendors; selecting menus and arranging for room setup for on-site and off-site meetings; and arranging for hotel accommodations for group visitors. Coordinates with Facilities and Communications/Events to make sure appropriate equipment/technology have been set up. Organizes NeuroGAP Advisory Board/Annual General Meeting.
- Program Documents & Correspondences – Manages and files correspondence of both paper and electronic form. Drafts, prepares, and proofread program documents, including progress reports, technical reports, grant related material, support letters, manuscripts and/or other special topics.
- General Program Coordination – Coordinates with other administrative and clerical support staff within own area or throughout the organization to accomplish routine activities, such as ordering supplies, obtaining approvals, arranging for document duplication and equipment repair.
- Other Responsibilities – Performs other related duties as assigned. Provides back-up support to other organizational coordinators. Participates in on-boarding and training process for new team members as assigned. Supervises student and volunteer research assistants.
Research Coordination:- Grant-Funded Research – Work in collaboration with the Sponsored Research Team to compile data and resources needed for grant applications and maintenance. Prepares, proofreads, and submits technical reports and grant related material or manuscripts including progress reports.
- Data Support - Cleans and organizes data for analysis, programs study questionnaires in REDCap (research electronic data capture) or similar software, produce data reports.
- Dissemination of Research Results - Performs literature reviews, drafts abstracts and designs posters and presentations, contributes to manuscripts and coordinates manuscript submissions.

PLEASE NOTE: This position has a term appointment of June 30, 2022, with the possibility of extension.
PLEASE NOTE: 15% of this position requires travel to study sites in Africa, once allowable by Harvard Travel.
PLEASE NOTE: The primary work location for this position is Boston, Massachusetts. Until our return to campus, which is still to-be-determined, this interview process and position will be conducted virtually – including virtual interviews, remote onboarding, and remote work. The remote nature of this position is only temporary. Local, on-campus work will be required once the School and this role return to an operational status that supports it.
Research Coordination Duties and Responsibilities continued:- Collection Site Coordination - Supports Stanley Global recruitment sites, including monitoring, site visits, site evaluation, fidelity to the study protocol. Under supervision of Assistant Director, Research Operations manages the development and maintenance of partnerships with international collaborators and research teams; serves as a liaison and main contact between these groups and Harvard Research team - this includes site visits, monitoring, training and data review. Keeps visiting faculty appointments at HSPH for international collaborators up to date.
- IRB Coordination - Coordinates IRB submissions related to research activities for Stanley Global, including in-country IRB tracking and submissions, procurement, and regulatory/compliance activities such as auditing consent forms.
- International Travel - Travel to sites in Africa to support implementation of the projects.
