The Continuing Education Coordinator for the WISH program at Harborview Medical Center (HMC) is responsible for collaboration and creation of WISH curricula. Additionally, this position has oversight and direction of all educational simulation activities and operations including management of day-to-day simulation activities and biological specimen use at the HMC campus.
This position is responsible for performing laboratory related work, including serving as designated Lab Hygiene Officer for all WISH sites, under general supervision in support of the WWAMI Institute for Simulation in Healthcare (WISH). This position reports to the WISH Associate Director for Operations with a matrixed reporting relationship to the Executive Director of WISH. WISH is a multi-disciplinary School of Medicine initiative and exists to provide cognitive and skills training and assessment for residents, medical students, faculty, and the larger medical community. The position will serve as the technical lead for WISH at the HMC Campus.
WISH is a cutting edge Education and Simulation Center. Simulation and Interprofessional Centers are now nearly compulsory in good academic medical schools. When the Institute began in 2005, it was among the first in the country, and was one of the first to receive accreditation. It has been and is a model for other centers and is a tremendous draw for our residency programs. Due to the nature of its high tech work, WISH connects and works in partnership with a number of enterprises in the Puget Sound region, working with them in creating new models for education as well as new technology. In addition, WISH reaches the community and provides experiences to high- school students that allows an additional avenue and potential career pathway in math, science and technology--a priority within the country.
Position Complexities: The individual in this position collaborates and contributes to the development of educational curriculum, using a simulation educational platform to aid in knowledge and skill development for medical professionals as they become proficient at medical procedures. The curriculum is operationalized in a simulation lab environment. This individual’s work will include working with subject matter experts to design curriculum for, and operationalize all, simulation exercises. This individual coordinates the work of other, more junior personnel in the simulation lab before, during, and after simulation courses. Additionally, this position may participate in various simulation-related research projects by collecting, synthesizing and tabulating data.
This individual independently reviews the equipment and supply needs for simulations, based on curricula to be taught and assigned research projects and plans/arranges for purchase/procurement and reconciliation. They oversee, supervise and perform maintenance and repair of simulators.
This successful candidate must be dedicated to superior service to internal and external customers and must have the full confidence and trust of WISH faculty and leadership in his/her role as the primary simulation resource for WISH customers.
Position Dimensions and Impact to the University: WISH interfaces with over 30 departments across the UW Enterprise and this position plays as significant role in the successful execution of interdepartmental endeavors such as the hundreds of courses that occur annually at WISH. A significant portion of the WISH program is its teaching mission. The expanding program reaches across the WWAMI region to train residents, medical students, allied health professionals, and practicing physicians. WISH's mission is to improve the health of the public through simulation science which resonates with the overall UW Medicine Mission of improving the health of the public. The individual in this position must be dedicated to superior service to internal and external customers and must have the full confidence and trust of WISH faculty and WISH Directors in his/her role as the primary simulation resource for HMC customers. This position will impact the University by furthering a critical collaborative relationship between WISH and UW Medicine.
POSITION RESPONSIBILITIES Programmatic Oversight & Administration =40% Serve as member of leadership “team” to maintain oversight of programmatic needs/offerings/events at HMC site; Responsible for all site-specific staff onboarding and training associated with both hospital campus’ requirements, inclusive of new equipment and periodic refreshers for staff; In collaboration with management team, communicate and maintain up-to-date awareness of staff and equipment scheduling needs for HMC campus; Develop, maintain, and review site and programmatic specific SOPs and documentation as needed; Responsible for maintaining up-to-date documentation of equipment and acquired knowledge of WISH courses, activities, and site management plans; Manage simulation inventory including procurement, use, storage, transport, maintenance and repair schedules including, but not limited to reporting via WISH Asset Tracking system; Serve as lead point of contact for site-specific facility needs including work orders, EH&S contact, etc.; In collaboration with the leadership team, identify, prioritize, track/implement, and communicate site-specific goals for training; Serve as primary point of contact for faculty requests regarding simulation and equipment use; Develop, analyze, and revise team guidelines, policies, procedures, and training tools; Develop, analyze, and revise team communication templates which serve to streamline processes and increase consistency; Lead regular briefs with teams across all WISH training sites.
Curriculum Development, Course Planning & Execution = 30% Plan, coordinate, and oversee simulation educational activities at WISH-HMC; Develop simulation curriculum in collaboration with subject matter experts; focus will be on curriculum development specific to the needs of UW Medicine; Trial curriculum with subject matter experts and simulators, and revise as necessary; Coordinate, update and publish curricula on WISH internal and external training platforms; Finalize curriculum and implement into the WISH course schedule; Plan and implement training in new curricula for all involved staff and faculty; implement courses at WISH-HMC; Coordinate, lead and direct assigned personnel in simulation activities including students, faculty, Scientific Instructional Technicians, and volunteers; Meet regularly with supervisor and other leadership to advise and discuss new or revised courses; Coordinate course delivery in all areas of WISH with special focus on HMC campus needs; Set course class training schedules on various platforms; Overview simulation curricula with students, staff and faculty. This may also include providing equipment overview orientations and working in a simulation environment; Coordinate, set-up, deliver, and take-down educational events and courses. This requires familiarity with simulators, task trainers, and other medical equipment for education; Provide regular status reports/updates to WISH leadership and HMC stakeholders; When course content requires, prepare biological tissues for educational use (mainly HMC campus). This requires familiarity with medical instrumentation and strict adherence to all safe handling protocols; Maintain awareness of healthcare simulation field, including best practices, new technologies, and be able to make recommendations for programmatic additions and/or changes; Maintain operation and servicing of educational materials – including audio visual and simulation equipment, this may including stocking course materials, fixing minor problems or arranging for service with external partners as needed;
Lab Hygiene and Compliance = 15% Maintain certification and up-to-date trainings with biospecimen, chemical and compliance topics; Accountable for daily lab maintenance, ensuring proper protocols and lab safety, and biological specimen use guidelines are being followed across all sites with the support of WISH leadership and in collaboration with other site leads; As designated Lab Hygiene Officer, responsible for the monitoring, tracking, and timely completion by all staff and stakeholder trainings associated with HMC lab, and other WISH sites as applicable; Serves as primary point of contact for all staff, reporting regularly to Associate Director for Compliance and Finance any facility needs and/or compliance issues; Responsible for management and oversight of HMC simulation lab documentation and safety reports, including periodic audits/inspection, including but not limited to annual BUA and Lab Chemical Inspection needs; Oversight of cadaveric tissue use, tracking, and storage policies.
Research & Data Management = 10% Manage data collection around training activities, including course evaluations; Collaborate on WISHTrak database management and act in a lead capacity for coordinating any training data related to HMC courses; Working with researchers and WISH Clinical Directors, help to design course curriculum for particular simulators and trial curriculum with existing and new simulators. Collect data on performance.
Outreach and Event Operations = 5% Coordinate and conduct educational tours and outreach events with various internal and external customers; Within the scope of the position, liaise with sales representatives, manufacturers and other simulation centers including industry supported events at HMC campus location; Coordination and set-up of educational spaces as required for each event; Serve as a coordination lead for any HMC focused simulation events.
JOB QUALIFICATIONS Education: Bachelor’s Degree in Education, Organizational Development, Business, Healthcare management, science or similar or equivalent work experience. Type and Years of Experience: 3 years of experience in healthcare programs involving educational activities or equivalent education/experience, evaluated on a case by case basis.
Other Required Qualifications Excellent prioritization skills; Ability to work with and gain confidence of faculty, students and peers; Demonstrates successful team leadership skills; Experience working with curriculum development and training; Must be able to work autonomously with only general oversight; Ability to work as a member of a collaborative leadership team with other site leads, including cross-coverage of programmatic needs, as applicable; Must be able to travel between WISH sites as needed, throughout the greater Seattle area (HMC, UWMC, NWH, and Airlift NW); Organized ability to track and report on the status of multiple projects; Demonstrated ability to successfully complete assigned tasks within a given timeline; Excellent verbal and written skills; Proficient full use of Microsoft Office Suite.
Desired Qualifications Master’s degree in education, healthcare administration, public health or other applicable; Experience in a simulation lab or lab setting highly preferred; Knowledge of medical terminology and medical processes a plus; Experience working with cadavers; Experience managing databases a plus
WORKING ENVIRONMENTAL CONDITIONS Must be able to work in a shared lab environment. Ability to regularly move bulky simulation equipment, specimens, and classroom furniture (approx. 40lbs) using proper ergonomics Occasional work may be needed on ladders and/or in tight areas Some duties require work with strong scents (cleaning supplies, and/or lab chemicals)
